Important records are documents, files or records in any form or format that contain important information for the needs in performing the functions and operations of UiTM and/ or the ‘survival’ of UiTM. - Why it needs to be submitted?
vital records need to be submitted to protect UiTM's financial and legal interests as well as to preserve and protect the rights of UiTM staff, customers and stakeholders. It will remain as the Memory of UiTM Institutions.
UiTM Vital Records Management is an institutional initiative plan to ensure that the records that support the entire operation are in good control and always accessible despite having a threat. - What is the referenced policy?
Dasar Penilaian dan Perolehan Rekod Awam Arkib Negara Malaysia (PRINCIPLES OF EVALUATION AND ACQUISITION OF PUBLIC RECORDS. NATIONAL ARCHIVES OF MALAYSIA (ANM) : -
"Obtaining public records in the custody or under the control of a public office, to the custody and control of the National Archives through the process of transfer" - Section 28, National Archives Act 2003 [Act 629]
A management field which are responsible for conducting efficient and systematic control of the creation, maintenance and disposal of records. These controls include the process of evidence collection and information about the activities and transactions of the organisation's affairs in the form of records.
2. Interpretation of Records
Materials which is in written form or other forms that state facts or events or otherwise any information recording which include papers, documents, registers, printed materials, books, maps, plans, drawings, photographic photographs, microfilms, cinematograph films, sound recordings, electronically produced records regardless of their physical form or characteristics and any copies thereof.
3. Interpretation of Public Records
Records officially received or issued by any public office in the course of its affairs or by any public servant or employee of a public office in the course of its official duties and includes records of any Government enterprise and also includes all records which, at the commencement of this act, are in the custody of or under the control of the National Archives of Malaysia established under the National Archives Act 1966 [ Act 511 ]
4. What is the first thing I should do if I need to dispose a record?
You need to remove records from the file cabinet, identify inactive file/ record features, and make segregation according to classification serial numbers 100, 200, 300, 400, 500, 600, 700 & 800.
5. What form do I need to fill out?
Among the forms that need to be filled out are the Record Separation Form, Record Evaluation Form, or related to Homogenous Form before being inserted in the archive box.
6. What are the differences between the forms?
Record Separation Forms: Identifying if the record have any values of permanent/temporary/valueless.
Record Evaluation Forms : File/Record with a classification number.
Homegenous Forms : Records of printed material publications.
7. Are those forms need to be sent to the Bahagian Arkib Universiti?
Only Record Evaluation Form and Homogeneous Form needs to be sent to the Bahagian Arkib Universiti together with the Disposal Application Cover Letter while the Record Separation Form needs to be kept at PTj.
8. Can I use a regular box other than the archive box to store files/records in the evaluation process?
Not allowed.PTj must use the archive box according to the specified specifications and the box must be affixed with the box label. Box labels can be downloaded on the BAU website.
9. What should I do after receiving the disposal permission letter from BAU, National Archives of Malaysia, National Audit of Malaysia, Accountant General's Department of Malaysia?
You must carry out a record disposal process such as shredding or burning or burrying and upon completion must return the 12/08 or 13/08 Archive Form to the Bahagian Arkib Universiti.
10. Is it necessary to send records to BAU to carry out the record disposal process?
No need to send records to BAU. It is the responsibility of PTj staff to carry out the record disposal process until it is completed.
11. How do I get an Archive Box?
BAU no longer provides any Archive Boxes for distribution to PTj. PTj must deal with the Printing Division using the specified specifications.
12. Is it possible for PTj to dispose of any excess publications in the store?
Disposal of publications materials must be done by submitting an application for Disposal of Publication Records of Printed Materials. Firstly,BAU will check whether the material is in the BAU collection or not.
This is because each PTj publication must be kept in the BAU collection. If BAU still does not have this material, PTj must send a copy to BAU. If there is a excess, a Disposal Application can be made by filling in the Disposal Form of The Record of Published Materials.
13 . Is the current File Classification [Klasifikasi Fail (KF)] still applicable?
Can be used until BAU announces the use of a new KF. For your information, the newest UiTM KF is still under development.
14. How can PTj get exposure on Records Management?
PTj can seek advice from BAU by visiting BAU or make plans to hold a Records Management briefing session at PTj's place.
15. PTj often face problems due to the change of officers who perform duties as The Department's Records Officer. What action should be taken by PTj?
PTj can make a new appointment by filling in the relevant form. Records Management in the department should be implemented by staff who have been officially appointed by UiTM with the appointment position as Classifying Officer and Secret Registrar for Classified Records Management and Departmental Records Officer as well as Departmental Records Administrative Assistant for open records management.
Each appointed staff will be given adequate training. For the appointment of Classifying Officers, a two-day course organized by the Office of the Chief Government Security Officer of Malaysia (CGSO) will be given. For Secret Registrars, a one-day course organized by CGSO will also be provided. For PRJ and PTRJ, a two-day Basic Records Management Course for PRJ & PTRJ organized by BAU will be given.

1. What are there service hour of Bahagian Arkib Universiti/Branch Archive Unit?
The service hours of the Bahagian Arkib Universiti are from 8:30 am to 5:00 pm every working day.
Archive Unit service hours for branch campuses are subject to working hours in the respective states.
2. Who can make a reference in the Bahagian Arkib Universiti?
All staff , students , researchers can conduct a reference at the Bahagian Arkib Universiti.
(a) UiTM staff
Consists of academic staff and administrative staff of UiTM who are still in service.
(b) UiTM student
UiTM students who are still on valid study period.
(c) Researchers
UiTM Alumni , Individuals , Government Agencies, Private Agencies, Local Community.
3. What is the method to reference any of archive materials?
Material Reference Applications can be made via emails , official letters ,phone calls or directly to our service counters at Bahagian Arkib Universiti/Branch Archives Unit.
4. What type of archive materials can loaned at Bahagian Arkib Universiti?
Materials that can be loaned at the Bahagian Arkib Universiti/Branch Archives Unit are only subject to Publication Materials, Staff Personal Files, Student Personal Files and Administrative Files. However, the file can only be loaned by the Department/Division/Unit/Centre that created the file and not individuals, UiTM students or external researchers.
5. How long the loan of archive material period is allowed?
The file loan period allowed to the borrower is seven (7) working days only.
The service fee for University's archives materials are subject to the National Archives (Fees) Regulations 2015 which have been approved by the UiTM Finance and Development Committee No. 205 dated 20 June 2017.
6. What if the loaned material is damaged or lost?
Files that have been lost or damaged by the borrower must be reported IMMEDIATELY to the Bahagian Arkib Universiti /Branch Archives Unit.

Is it possible to submit records digitally? 28. Since payment vouchers are filed in hardcover files at the Treasurer's Office, how should they be filed? Voucher disposal application must be filled using homogeneous form. 29. Head Of Zone have to nominate multiple of names to be appointed as classifying Officer.If there are 21 people, may the office fill only one form of KPKK 9? 31. Is there sould be an officer who monitors the staff during disposal process? For example, using the services of external contractors for the material cutting process. 32. Do Operations Assistants (Pembantu Operasi) need to be appointed as Confidential Registrars? Homogenous records consist of files or financial records that have a reference number and file category. The file must be kept for a period of 5 years for administrative files and 7 years for financial files before applying for disposal 34. Is there any record management manual in the video format? 35. Should records be submitted online or in softcopy? To be inform that the Online Finding Archive (OFA) system, which includes inactive archive material, was finished in 2020. 38. Can amended guidelines be submitted to BARU? Sure, any amended guidelines can be submitted to BARU. 39. What happens if a member of staff moves departments or divisions? The name is in the system, but it is not active. 40. Staff appointment letters marked as Confidential are issued by all PTJs, however they are sent by email and are not in accordance with protocol. The recipient of a letter is considered confidential. As a result, BARU handles the Records Management Course for staff assigned to attend the Office of the Chief Security Officer of the Malaysian Government (CGSO) course, which includes methods for classifying letters, documents, and files in the department. 41. Inquiry about if a staff exchange takes place among administrators/academic administrators, what are the processes for exchanging letters? A staff transfer letter is not necessarily confidential. Confidential Category is just written on paper or envelopes but is not formally registered by the Classification Officer. 42. Inquiries on file cover and minute meeting, should it typed or written? The front file cover and file minutes should be handwritten. 43. Registering a classified document? It must be handwritten and registered in the Classified Document Control book (AM 492, AM 492A, and AM492B Register Book). Handwriting is authentic proof. 44. Where to get AM 492, AM 492A and AM492B Register Book? Any PTJ want the copy of those can submit application to BARU. 45. Inquiries on how the main file is. Is it not affected if the original file classification record (KF) remains unchanged? BARU suggests adding file numbers in the system for editing purposes. 46. Can BARU provide information on the appointment of university records managers to the PTJ? Yes, BARU will inform the PTJ on the appointments of university records managers. 47. What is the right way to dispose of exam question papers? Exam question papers are homogenous documents that can be disposed of within a year, and the PTJ may request the disposal of records from BARU. 48. Can any PTJ contribute their old trophies to BARU? Yes, BARU very much welcomes the intention of any PTJ wish to donate their old trophies to BARU. This may be arranged through the Unit Galeri Tun Abdul Razak (GTAR). 48. Can any PTJ send a bulletin to BARU?? Yes, it can be submitted through the Archive Tracking System (ATS). 49. What is the scope of the audit visit? The scope of the audit visit consists of records management procedures, human resource management and training as well as awareness and commitment of the department. 50. How long are personal files and student records stored at BARU? BARU keeps a student's personal files or records for 20 years. 51. Is it necessary to dispose of any softcopy materials, such as compact discs (CDs), learning videos, and previous Final Year Project (FYP) theses? Yes, it is necessary to dispose all softcopies of CD's, DVD's including the Final Year Project (FYP) thesis and instructional video content. 52. Can photos of various events be submitted to BARU? Yes, it can be submitted to BARU but the photos must be submitted along with the description Of the picture and the event. |
